The survey process

Once your registration has been received, you'll be contacted by Insync Surveys who will work with you to set up your survey and provide you with tips to maximise employee response rates.

Your survey will be online but paper surveys are available for organisations with limited internet access for a fee.

Surveys are completed anonymously by employees and once the survey closes the data are compiled and analysed by Insync Surveys.

Your organisation will receive a one page copy of the survey results. This will be emailed to you on the day of the Gala Luncheon in June 2010.

Response rates

To maximise the accuracy of findings, the medium and large organisations must have the survey completed by at least 60% of staff. Small organisations will require a 60% response rate at minimum or at least 20 responses, whichever is higher. These requirements must be met for your organisation to be considered for an award.

For those organisations that fall short with response numbers, a one page summary of your results will still be provided. This allows you to still be able explore areas that may require improvement and celebrate success in those that are currently being achieved. However, such results may not represent the overall view of your workforce and your organisation won't be considered for an award in 2010. You will still receive your 2 complimentary tickets to the luncheon.

About the survey and supplementary questionnaire

Your staff will answer a short survey with around 30 questions covering engagement and advocacy.

In addition, the CEO or HR Manager must complete a short questionnaire so Insync Surveys can further determine if you are an outstanding employer. This will capture information about your organisation's employee turnover rate, employee growth rate and workplace accident record.

Survey time periods

Insync Surveys will be running three two-week survey waves.

Once registered please indicate which of the following waves you would like to participate in:

Wave One Monday 22 February - Friday 5 March
Wave Two Monday 8 February - Friday 19 March
Wave Three Monday 22 March - Thursday 1 April

A survey link and unique password will be emailed by Insync Surveys to each of your employees at the beginning of your survey wave. As such, employee email addresses need to be provided to Insync Surveys at least five business days prior to this date.

About the awards report

Your one page report is like a scorecard; it will feature your overall engagement scores. Insync Surveys will then dig a little deeper and provide scores around your employees "heart" (i.e. emotional connection to the organisation), "mind" (i.e. positive intent) and "behaviour" (i.e. discretionary effort).

Additionally, your report will show favourable versus unfavourable employee opinions around your organisation's: reward and recognition, performance feedback and appraisal process, leadership, career development, communication and team work.

Insync Surveys will also report on your employee advocacy levels. These will be benchmarked against other WA participant organisations.

Confidentiality

All surveys will be compiled by Insync Surveys in line with the privacy and confidentiality policy on their website. This policy informs survey invitees that their responses may be used for the purposes of research. It also guarantees that respondents' identities will not be linked to their responses. A list of high performers will be published. Results for the award winning organisations will be shared with WA Business News to assist with the editorial feature.

Cost of registration is $1,500 + GST and includes two tickets to the Gala Luncheon in June 2010 and a copy of your one page engagement report. Paper surveys involve an additional fee of $2,500 for up to 250 paper forms.

 Improving employee engagement

If you also want to know the drivers of employee engagement and how you can improve it, Insync Surveys can provide access to one of its organisational psychologists for support at an additional cost. If your organisation requires deeper results, reporting can include demographic breakdowns (such as age, gender, role and department) and Insync Surveys can also look at what impacts engagement in your organisation, both for an additional fee. These extra options will help you understand the things in your organisation that can lift your engagement results.
